The Sr. Executive Assistant will serve as the first point of contact for any interaction with the CEO & President. He/she will ensure the smooth and efficient operation of the office and oversee daily activities while handling a wide range of administrative and executive support related tasks to keep executive on track with meetings and calls.

 

Responsibilities:

  • Serve as the primary liaison and gatekeeper for the CEO and President to determine which meetings and calls are essential to attend
  • Assist with the prioritization of daily activities and help to keep executive on track with meetings
  • Take minutes during meetings as requested
  • Act as a fill-in during meetings on behalf of the CEO or President to record detailed notes, and follow up on critical information
  • Accompany CEO or President to key executive meetings and leadership forums
  • Maintain working knowledge of organizational structures and department responsibilities
  • Maintain close relations with all direct reports of CEO and President, and assist with their needs
  • Creates email correspondence for Company announcements and to external industry executives
  • Prioritize pending approvals and ensure signature and requests are processed in a timely manner
  • Prepare and maintain a variety of sensitive and confidential documents and reports
  • Anticipate issues before they arise while independently working to resolve them
  • Exercise excellent judgement and decision making on behalf of the CEO and President
  • Prepare various monthly business reports
  • Provide administrative support
  • Manage a variety of special projects as needed

Desired Qualifications:

  • Minimum Bachelor's degree
  • 10+ years of relevant experience including 5+ years supporting C-level executive
  • Be able to achieve high performance goals and meet deadlines in a fast-paced corporate environment
  • Team player with multitasking and interpersonal skills
  • Must possess excellent listening, oral and written communication skills
  • Excellent organizational skills with focus on accuracy and attention to detail
  • Strong time management skills; ability to prioritize multiple tasks efficiently
  • Be proactive in following up on details, anticipating issues, and closing loops on all requests
  • Be adaptable to various competing demands
  • Handle confidential information with discretion
  • Proficient with Microsoft Suite
  • Ability to learn new software, including Blue Cherry, Magento and Concur
