The Administrative Assistant will be responsible to organize meetings/agendas, maintain schedule and travel calendar. This individual will be the first point of contact and will direct all incoming calls.

 

Responsibilities:

  • Manage and coordinate daily schedule for meetings, conference calls and events
  • Coordinate travel arrangements (flight, car and hotel reservations)
  • Manage the Marketing department master calendar (including all Photoshoot dates, Campaign Run‐Dates, Corporate Events, etc.)
  • Maintain the department filing system and office organization to support the operations director
  • Create the department weekly meeting agenda & communicate upcoming events, creative projects, etc.
  • Track, prepare and submit monthly invoice and process through Concur on a timely basis
  • Process and record invoices incurred on the Marketing department credit card
  • Support PR Team with events and special projects as needed
  • Provide general department support as requested

 

Desired Qualifications:

  • Minimum Bachelor's degree (Marketing, Fashion or related field a plus)
  • Minimum 0-3+ years of administrative experience
  • Concur and Blue Cherry system experience preferred (business travel and expense management)
  • Excellent communication skills; meticulous and organized with excellent follow‐up skills
  • Strong attention to detail
  • Must be highly self‐motivated with strong sense of urgency
  • Must be a team player and be able to multi‐task in a fast‐paced environment
  • Effective time management skills and ability to manage multiple priorities
  • Must be able to take initiative and be proactive with good judgment
  • Excellent Excel, Word and Outlook skills required
